Educational Outreach Exhibitors
1. The festival will be held May 16th and 17th, 2009. All Exhibitors must be set up by 9:30 a.m. The Festival starts at 10 a.m. and will close at 6 p.m.
2. We will hold the festival rain or shine. THERE IS NO RAIN DATE
3. The Maryland Faerie Festival is a family event. Alcohol and intoxicating herbals are not permitted. Exhibitors are asked to refrain from making overt religious or political expressions and from using obscenities. Please remember that our audience is made up of all ages, backgrounds and beliefs.
4. Due to the 4H Center policy no animals are allowed on site except helper/assistance animals or animals considered part of your Educational presentation. If your animal meets these criteria, you must be prepared to provide certification that your animal is up to date on all vaccinations required by law. Any animals coming to this event from outside the State of Maryland must have a copy of their Certificate of Health on site the day of the event. If you have any questions regarding other vaccinations or certifications please contact the Maryland Faerie Festival Entertainment Committee before May 1, 2009.
5. Weapons may be part of a display or used as a prop in a demo or lecture. Otherwise, weapons must be peace-bound and worn with costume. Any toy weapons worn with a costume must also be peace-bound. Failure to follow safety protocols will result in weapons being confiscated and/or dismissal from the event.
6. The Maryland Faerie Festival’s space allocations are in 10 x 12 increments. If your display exceeds 10 x 12, please let us know so we can provide you with the space your display requires. The specific location of Exhibitor’s space will be determined by MdFF. MdFF retains the privilege to change locations as needed.
7. We ask that you maintain your display throughout the duration of the exhibitor hours: 10:00 a.m. to 6:00 p.m both days of the event. If you need an exception to this policy, please notify us so we may plan accordingly.
8. Exhibitors must conduct all business or other activity within their designated exhibition space only. Exhibitors may not distribute, canvass, nor conduct any vending of any kind by strolling through the festival grounds.
9. You must bring your own table, chairs and canopy to the event. We are unable to provide these items at this time. Exhibitors requiring electricity must provide their own generator
10. There is no limit to the number of volunteers exhibitors may use to staff their event space. Exhibitors and their volunteers are permitted to bring guests. Please provide us a list of names for your display by April 10, 2009. They will be let in through the Vender’s Check In. If you have volunteers who need to arrive during the festival hours operating hours of 10:00 am to 6:00 pm please have them check in at the Admission desk.
11. Each exhibitor will be permitted to park one vehicle in the Vender parking area. If you will be using this privilege please provide us with the vehicle information in the space provided on this application.
12. You may sell supporting information, or goods, which directly benefit your organization. If you plan to do so, please provide the appropriate tax ID in the space provided on this application. If your organization is required to remit sales tax on products they have sold during the festival, MdFF will not collect or pay sales tax for exhibitors. MdFF will submit names and contact information of participating exhibitors to the State of Maryland Comptroller of the Treasury for sales tax purposes.
13. The sale of alcoholic beverages of any kind is strictly prohibited.
14. Permits: You are required to obtain and display all necessary permits and/or licenses in order to operate on the festival grounds. MdFF assumes no responsibility for securing any required permits for your organization.
15. The Maryland Faerie Festival reserves the right to reject an application for any reason.
16. Exhibitors are expected to insure their own property. MdFF is not responsible for this coverage. Insurance of whatever nature, including, but not limited to, liability insurance and workmen’s compensation insurance, shall be the responsibility of the exhibitor and shall be obtained at his/her own expense and initiation. MdFF assumes no responsibility of any kind for insurance on behalf of the exhibitor.
By accepting the terms of this agreement I hereby agree to this release, on my behalf and on behalf of all participants in my organization or group, and affirm that I so informed them of this waiver of responsibility and, by their individual and group participation, they too agree to this waiver as though signed by each and every one of them.
Invalidity or unenforceability of one or more provisions of this Agreement shall not affect any other provision of this Agreement.
